Join us as an Administrative Assistant and become the go-to person that keeps our office running smoothly. Your role is essential – from welcoming visitors to setting up meetings, you’re the one who makes it all happen. As an Administrative Assistant, you will provide clerical support, including editing and preparing correspondence, generating and maintaining files, heavy calendar and meeting scheduling, coordinating conference room meeting needs, comprehensive area management, and data entry. You may also be tasked to assist with special projects and events.
What You’ll Do
- Front Office Support: Ensure the office runs smoothly by: Promptly directing welcoming and assisting visitors, and ensuring the area is tidy and stocked.
- Comprehensive Area Management: Oversee and maintain general office areas including conference rooms, kitchens, and training rooms, ensuring they are well-equipped and clean, particularly after meal services provided to employees.
- Administrative Assistance: Engage in essential administrative tasks such as drafting and editing correspondence, organizing files, managing a busy calendar, scheduling meetings and training events, and performing precise data entry.
- Meeting and Catering Coordination: Manage logistics for meetings, including scheduling and preparing necessary materials or equipment. In addition, you will be responsible for organizing catering for office events and meetings, making sure that all food and logistical needs are effectively addressed to support successful office functions.
- Office Space Maintenance: Ensure the cleanliness of kitchens, meeting rooms, training rooms and general office areas. Address and follow up on maintenance requests and assess the priority of employee requests, escalating them as needed.
- Vendor Coordination: Correspond and coordinate with vendors providing products or services to the office.
- Support Special Projects and Events: Be prepared to take on additional responsibilities, such as helping with special projects and events, as directed. Your involvement will be crucial to their success.
Who You Are
- High School diploma or GED.
- Must be available Monday through Friday, with flexibility when needed.
- Prior experience working in an administrative capacity.
- Excellent collaborative, interpersonal, and communication skills.
- Computer literacy; proficiency in Microsoft Word, Outlook, and data entry
- Strong organizational skills and ability to prioritize multiple tasks.
- Good attention to detail and desire for quality work.
- Ability to work independently or as a team player.

Compensation Range: $24.00 - $27.00 per hour
