What You Get To Do
The Indirect Spend and Facilities Manager oversees all activities and purchases for indirect spend items, and all building related topics, in particular for B2124 and B2120.
The Indirect Spend purchasing manager is responsible for preparing budgets and contracts related to indirect spend items for executive approval, managing the implementation of approved initiatives, triggering purchase order requisitions and pre-approving invoices for payment. This role ensures compliance to company procurement policies and insurance policies for assets such as company vehicles and buildings. This role supports negotiations and executions of contracts with our vendors associated to Corporate Travel and Marketing.
The Facilities Manager is responsible for ensuring the optimal working environment for the organization’s facilities by ensuring full maintenance of all building services. This position organizes and procures, as needed, with external vendors, such as cleaning crews, HVAC, plumbing, lawncare and electrical services to maintain the premises. Responsible for project management, contract negotiations, and implementation of new construction projects. Responsible for all furniture related topics. Coordinates and procures all IT infrastructure upgrades.
Indirect Spend
Essential Functions and Responsibilities:
- Create annual Procurement Indirect Spend budget, monitor budgets, report deviations from budget monthly
- Utilize existing, develop, or implement new Software Tools to support spend analysis
- Reporting of savings
- Identify and execute initiatives generating savings or improving service levels
- Negotiate contracts for Indirect Spend purchases
- IT equipment negotiations and procurement
- Procure and maintain inventory for all business consumables
- Invoice review and approvals
- Negotiate and Purchase Company Fleet Vehicles, Corporate Apartments, Field Supplies and Infrastructure, Uniforms,
- Manage Fleet Tracking Tool (Azuga)
- Procuring and distributing annual Fleet vehicle tags
- Negotiate travel partner contracts for Avis, Delta, Concur, etc.
Facilities
- Create annual facilities budget, monitor budgets, report deviations from budget monthly.
- RFQ and cost analysis for all planned investments
- Negotiate maintenance contracts for building systems
- Negotiate annual lawn care maintenance contracts
- Negotiate and procure building systems upgrades or repairs
- Ensures building equipment is in proper working order and available for use
- Negotiate and Project Manage all new facilities construction
- Arrange and coordinate annual sprinkler system inspections
- Maintains physical space, ensuring a safe, clean, and functional environment.
- Participates on emergency preparedness planning team.
- Maintains inventory of supplies; reorders as needed.
- Procure regular maintenance of equipment and internal systems (e.g., heating system, alarms, security cameras)
- Monitor Alarm system to ensure the building is secure
- Maintain employees building access/alarm system
- Procure and repair furniture as needed
- Manage waste disposal and recycling
- Coordinate office and parking space allocation
- Monitoring inventory levels and determining purchase needs
- Performs other related duties as assigned
- Employee Locker assignments and configuration
- Coordinate and procure data cable projects with the IT Department
- Responsible for building signage and postings
- Manage Front Desk and Maintenance Staff, create, implement, and supervise daily clerical tasks
What You Have
- Degree in a related field preferred
- Proven experience working as a procurement specialist in the same area required
- Strong knowledge of the industry and market conditions
- Excellent written and verbal communication skills
- Impeccable negotiation and problem-solving skills
- Exceptional interpersonal skills and rapport building
- Flexible to work long hours as demanded by projects
- Able to travel to meet vendors and suppliers as necessary
Working Conditions And Environment
- Overtime (occasional) as required by work
- Travel may be required up to 10%

- Physical requirements may include:
