Job Summary
The Executive Assistant provides comprehensive administrative support to the Senior Vice President of Supply Chain and other members of Supply Chain Senior Management as needed. These duties include, but are not limited to, management of the SVP of Supply Chain’s daily schedule, coordination of meetings, and arrangement of all travel bookings and details. Interfaces regularly with executives both internal and external to the organization.
*This position requires working onsite Monday-Thursday at our Lake Zurich, IL site. Fridays may be worked from home.
Responsibilities
- Manage the daily schedule of the SVP of Supply Chain and coordinate meeting schedules with other executives.
- Arrange all travel bookings and related details and prepare expense reports using Concur.
- Generate and distribute important, and at times confidential, documents.
- Create slide presentation materials for various meetings utilizing PowerPoint.
- Attend monthly staff meetings and take notes.
- Organize all details for Supply Chain department meetings and events (location, catering, A/V, etc.).
- Review shipping invoices for accuracy and coding.
- Create Supply Chain purchase orders and process invoices in SAP.
- Submit SAP role requests for department.
- Lead special projects assigned by the SVP of Supply Chain.
- Additional duties, projects, and responsibilities as assigned.
Job Requirements
- High school diploma required; Associates degree strongly preferred.
- Minimum 5 years’ experience in a professional, administrative support role, supporting executive management.
- High level of proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Concur required, and some knowledge of SAP systems.
- Experience in leading projects.
- Excellent written and verbal communication and interpersonal skills.
- Must be able to maintain a high level of confidentiality and discretion.
- Ability to organize multiple tasks and effectively prioritize duties in a fast-paced work environment.
- Proven ability to interface with executives and internal/external customers (in person, on the phone, and in written communications).
