Supports Director of Operations in the management and operations of the contract management system, preparation of legal documents, and assisting with general administrative duties in support of the legal department.
- Maintenance of a centralized file, storage and documentation system for all contract-related material (legal, compliance and finance responsibilities) changes, and status reports
- Compares contracts and agreements to previous drafts to prepare for execution and finalization
- Coordinates and participates in preparation of status reports, including management of internal priority lists and hosting weekly prioritization sessions
- Communicates with internal stakeholders on status of contract drafts and internal projects
- Dissemination of contract documents to the appropriate parties, externally and internally
- Manages electronic document signature system
- Monitors regulatory updates for escalation to Director of Operations, Assistant General Counsel, or General Counsel
- Assists in development and implementation of office systems and procedures as needed
- Assists with special projects as assigned
- Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as needed
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
- Performs other related duties as assigned by management
Requirements
- Bachelors' degree (B.A.) or equivalent, three to five years relevant experience, or equivalent combination of education and experience
- 2+ years relevant experience working in contract management or legal department, or a law firm or handling contracts in the purchasing department
- Excellent verbal and written communication skills
- Proficient on Microsoft product suite, including but not limited to Word, SharePoint, Excel, and OneNote, DocuSign, Adobe Sign, and general contract management software
