JOB SUMMARY
As an Executive Assistant/Office Manager, you will be responsible for providing support to the Executive Team as well as managing the daily operations of the office. This person must be able to deal well in high pressure situations with the ability to think critically in order to problem solve
Essential Duties And Responsibilities
- Handle Executives’ daily calendars, travel arrangements, event planning, and administrative responsibilities
- Prepare agenda in advance for meetings and send to all appropriate parties
- Assist Executives with project planning and report requests
- Assist with presentation preparation and delivery
- Assist the Executive Team with organizing competing business priorities
- Assist executives with the development of an inclusive work environment
- Protect and drive the ideal culture at Outcomes
- Handle special projects as assigned
- Manage the office facility to ensure it is fully operational and meeting legal requirements; build relationships with the building engineer and manager to meet business needs
- Manage and oversee the order and delivery of all office supplies along with developing and maintaining the vendor relationships
- Serve as the contact person for Outcomes associates regarding office operations and maintenance
- Maintain the highest level of confidentiality at all times
Qualifications
KNOWLEDGE & REQUIREMENTS
- Minimum 2 years of experience in an Executive or Administrative assistant role combined with office management experience
- Hybrid office schedule (Mon/Tues/Thurs in office and Wed/Fri at home) but may adjust based on executive needs for the week
- Ability to collaborate professionally with internal and external customers
- Maintain a level of persistence and follow-up to ensure that no details are missed
- Excellent written and verbal communication skills
- Excellent organizational and time management skills
- Ability to multi-task in a fast-paced environment while shifting priorities as needed
- Highly adaptable to change and proactive in nature
- Highly proficient in MS Office Suite as well as the ability to troubleshoot technology in meeting settings
Education & Experience Requirements
- Minimum years of work experience: 2 years support of executives, project management skills, office management
- Minimum level of education or education/experience: Bachelors or equivalent work experience
