Overview
The Pharmaceutical Purchasing Agent is responsible for managing the pharmaceutical inventory ordering process in the assigned pharmacy/pharmacies including the purchasing of pharmaceuticals and related products, documentation of receipt, and the optimization of pharmacy inventory both in the facility pharmacy and automated cabinets. The Pharmaceutical Purchasing Agent regularly exercises independent judgment and discretion in the performance of providing overall effective procurement, management and delivery of pharmaceuticals.
Position Location & Working Hours
* This is a remote-based position where you will work from your home office
* Available to travel periodically to work with team onsite
* Regular business hours with availability to work until 7:00pm CST
Ideal Candidate Experience Profile
- Associate’s degree in Business Administration or related field or equivalent experience
- National Pharmacy Technician Certification highly desirable
- 3+ years’ experience in pharmacy field or materials management function; familiarity with purchasing/supply standardized methods and inventory control systems
- Strong project management skills
- Experience in coordinating and handling complex activities
- Direct experience in warehousing, distribution, and/ or supply chain operations,
- Excellent written and oral communication skills
- Ability to manage by influence, both up and down the organizational structure
- Strong technical analysis and evaluation skills
- Ability to perform root cause analysis and drive problems to resolution
- Ability to maintain confidentiality of records and information
- Knowledge of computer systems, including Microsoft Office software, protocols and procedures
- Ability to make administrative and procedural decisions and judgments on sensitive and time-sensitive issues

Responsibilities
Manage cost effective practices, align with vendor contracts, budgets, and regulatory standards.
Identify and implement savings initiatives (e.g. appropriate splitting to various cost types available) along with opportunities to reduce drug wastage and expiration.
Effectively manage procurement and distribution of pharmaceuticals according to vendor contracts including the handling of drug shortages with alternatives.
Arranging for the return for proper reimbursement based on the original purchasing cost type.
Oversee the system’s management of adequate inventory and floor stock par levels of pharmaceuticals.
Provide effective communication to management, co-workers, and vendors to establish collaborative communication, especially as related to activity status of pharmaceutical accounts.
Proactively make recommendations to pharmacy managers regarding necessary changes or potential new vendor relationships required to fulfill an order.
Serves as a professional and knowledgeable representative of the organization to outside vendors.
Handles supplier-related activities, requests for pricing, requests for an addition of new items to the pharmacy inventory and purchases of pharmaceuticals while ensuring appropriate costs, schedules, quality, deliveries, terms, and conditions.
Reviews inventory transactional details daily.
Setup of new accounts with pharmaceutical manufacturers as needed. Implement inventory levels for new pharmacies.
Facilitate order transmission for all needed products daily.
Review requests for special order items and communicate availability and cost.
Provide responses to client request for information related to pharmaceutical supply management.
May assist in training personnel on inventory handling and overseeing workflow in the pharmacy when the tech supervisor or pharmacy manager is unavailable.
Proactively communicate drug supply delivery timelines to appropriate stakeholders.
Function in accordance with standard written policy & procedures, guidelines, and state and federal regulations.
Make decisions in purchasing to achieve a maximum inventory turnover rate.
Communicate in real time shortages of medications or changes in medication stock availability.
Assist Pharmacy Manager on all product substitutions when backorders occur during the normal procurement process.
Oversees receiving, storage, and return of medications to the Pharmacy wholesaler or Consolidated Distribution Center (CDC) if applicable.
Maintains invoicing for all drug and supply accounts.
Processes wholesaler invoices for payment by accounts payable according to Policy and Procedures.
Evaluates and recommends the best sourcing solution.
Performs cost comparisons related to proposals.
Compares prices, verifies specifications, delivery dates and other information to facilitate purchasing decisions.
Assists with resolving problems related to invoicing and receiving.
Promptly report any allegations of impropriety to the Compliance Department.
Comply with Maxor’s Ethical Business Conduct policy and Maxor’s Compliance Program.
Remain free from exclusion under the OIG and SAMS Medicare/Medicaid lists.
Complete required training, as assigned, within the established timeframes.
Must be able to cope with the mental and emotional stress of the position.
Maintain regular attendance in accordance with established policies.
Perform other job-related duties as assigned.
