Responsibilities
Position Summary:
This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Administrative Assistant will primarily oversee switchboard operations, work in the mailroom, and perform a range of administrative duties to ensure the smooth operation of daily business activities.
Responsibilities: Essential Duties
Lobby/Switchboard Coverage (8:30 am till 5 pm) - Includes Switchboard Notes
- Provide professional and efficient reception services.
- Demonstrate excellent communication skills while managing incoming calls and inquiries.
- Greet and assist visitors, clients, and employees in a courteous and helpful manner.
Administrative Support
- Proficient in Microsoft Office applications, including Excel, Word, and PowerPoint.
- Maintain accurate and organized records, ensuring efficient information retrieval.
Mailroom Support
- Operate mail sorter, postage machine, and handle incoming/outgoing mail.
- Manage mail slot and coordinate timely deliveries
Shipping/Receiving Backup Coverage
- Assist in shipping and receiving tasks, including lifting packages up to 15 lbs.
- Ensure accurate and timely handling of shipments.
Stationery Management
- Responsible for ordering stationery, business cards, note pads, and other office supplies.
- Maintain organized inventory and ensure timely replenishment.
Facilities Support
- Assist with office/cubicle request moves and set up new hire name plates for multiple sites.
- Collaborate with facilities management to enhance office functionality.
- Performs broad administrative and staff support duties for the department/organization.
- Prepares reports and presentation materials.
- Receives and responds to correspondence.
- Receives and directs visitors.
- Schedules, coordinates and organizes meetings.

Expertise: Knowledge & Skills

Qualifications:
- Proven experience in administrative support roles
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Strong interpersonal skills with the ability to interact professionally with individuals at all levels.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Attention to detail and accuracy in all work performed.
- Ability to work independently with minimal supervision and as part of a team.
- Knowledge of switchboard operations and mailroom procedures is a plus.
- Flexibility to adapt to changing priorities and willingness to take on additional responsibilities as needed.
The targeted range for this role takes into account a range of factors that are considered when making compensation and hiring decisions; included but not limited to: skill sets; experience and training; licensure and certifications; and other business and organizational needs.
